Configuring Microsoft Outlook Windows for HawkMail
(Students' and other non-University computers)

 
Note:

These instructions are for configuring an email client to work with the University's new HawkMail email system. If your University of Hartford email account is on the "old" email system, you must move it to the new HawkMail system before using these instructions.

This document describes how to configure Microsoft Outlook on Windows to work with HawkMail on computers that are not part of the University's FACSTAFF domain).

These instructions can be used by:

  • Students who have Microsoft Outlook for Windows, and whose Outlook is not connected to any other Microsoft Exchange email system (such as an employer's -- most versions of Outlook can only be connected to one Microsoft Exchange system at a time)
  • Faculty and Staff Windows computers which are not part of the FACSTAFF domain (were "FACSTAFF" appears on the login screen) -- typically non-HawkPC desktop computers and laptops, and personally-owned computers

These instructions cannot be used by:

  • Faculty and Staff with HawkPCs or laptops that are in the FACSTAFF domain (where "FACSTAFF" appears on the login screen) -- there are different instructions for HawkPCs. Do you need to migrate "local" folders?

Do "local" folders from Outlook Express or Windows Live Mail need to be moved into Outlook? If so, it is best to do it before configuring Outlook for HawkMail.

If Outlook is running, close it down completely.
 
Open the Control Panel:
 
Set the Control Panel mode to "Large icons":
 
Double-click the "Mail" icon:
 
Click "E-mail Accounts...."
 
Be sure the "E-mail" tab is selected and click "New...."
 
When the "Auto Account Setup" windows appears, check "Manually configure server settings or additional server types" and click "Next."
 
Select "Microsoft Exchange" and click "Next."
 
In the Microsoft Exchange Settings window, enter:
  • Microsoft Exchange Server: hawkmail.hartford.edu
  • User Name: your UofH email address (with the "@hartford.edu" part)

Click "More Settings...."

 
In the Microsoft Exchange window that appears:
  • Click the "Connection" tab
  • Check "Connect to Microsoft Exchange using HTTP
  • Click the "Exchange Proxy Settings..." button
 
In the Microsoft Exchange Proxy Settings window that appears:
  • Use this URL to connect to my proxy server for Exchange: hawkmail.hartford.edu
  • Use this authentication when connecting to my proxy server for Exchange: Set to Basic Authentication

Click "OK."

 
The Microsoft Exchange Proxy Settings window will close.

On the Microsoft Exchange window, click "OK" to close it too.

 
The Microsoft Exchange window will close, revealing the Add New E-mail Account window.

Click the "Check Name" button.

 
A Connect to hawkmail.hartford.edu window will appear:
  • User name: your UofH email address (including the "@hartford.edu" part)
  • Password: your UofH email password
  • Check "Remember my password"

Click "OK."

 
Outlook will contact the HawkMail server, complete the configuration, and replace your User Name with your name as shown below.

Click "Next."

 
Outlook may display an informational message about Mail Delivery Location.

If it does, click "OK."

 
When the "Congratulations!" window appears, click "Finish."
 
Close the Account Settings window.
 
Close the Mail Setup - Outlook window.
 
Outlook may take some time to set itself up. Let it complete on its own.
 
Outlook may take some time to download your messages, depending on the speed of your network connection.
 
Disable Outlook's junk-mail filter?
Outlook has its own junk-mail filter, which is in addition to the University's Barracuda anti-spam system. Often, Outlook's filter catches messages and moves them into the "Junk" folder without the user realizing that it has done so, and it tends to be a bit too "aggressive" at catching mail, even on its "softest" setting.

You may want to consider disabling it.

In Outlook 2010:

  • "Home" tab
  • "Junk" drop-down menu
  • Choose "Junk E-mail Options..."
  • Choose "No Automatic Filtering"

In Outlook 2007:

  • "Tools" menu
  • "Options"
  • Under "Preferences" tab, click "Junk E-mail..." button
  • Choose "No Automatic Filtering"
 
 
Suggested: Send yourself a test message to ensure that you can send and receive email.
