Configuring Microsoft Outlook Windows for HawkMail
(University computers in the FACSTAFF Domain)

These instructions are for configuring an email client to work with the University's new HawkMail email system. If your University of Hartford email account is on the "old" email system, you must move it to the new HawkMail system before using these instructions.

This document describes how to configure Microsoft Outlook on Windows to work with HawkMail on computers that are part of the University's FACSTAFF domain. It is important to follow these steps and NOT to configure Outlook on a computer that is a member of the FACSTAFF domain manually -- doing so will result in a malfunctioning configuration as Outlook would automatically configure itself with settings that are incorrect for the new HawkMail system from the FACSTAFF domain.

These instructions can be used by:

  • Faculty and Staff with HawkPCs or laptops that are in the FACSTAFF domain (where "FACSTAFF" appears on the login screen) -- there are different instructions for computers that are not part of the FACSTAFF domain.   • Faculty and Staff computers that are already connected to the University's previous Exchange system -- the steps below will switch Outlook from connecting to the old system to connecting to the new HawkMail system -- however, switching systems must be done in coordination with Information Technology Services

These instructions should not be used by:

  • Students who have Microsoft Outlook for Windows, and whose Outlook is not connected to any other Microsoft Exchange email system (such as an employer's -- most versions of Outlook can only be connected to one Microsoft Exchange system at a time)
  • Faculty and Staff Windows computers which are not part of the FACSTAFF domain (were "FACSTAFF" appears on the login screen) -- typically non-HawkPC desktop computers and laptops, and personally-owned computers
 
If Outlook is running, make a note of the version (2007, 2010, 2013) and bit size (32 or 64) and then close it down completely.

You must be logged onto the computer as the user in the FACSTAFF domain.

The user must be an administrator on the machine.

This process will clear the "autocomplete" cache (which is necessary) in order to ensure that replies and updates to existing email messages work correctly.

This procedure will automatically configure Outlook on the computer with the user's account information -- no need to type in account and server names -- they are derived automatically based on the account of the person logged into the computer.

 
Do you need to migrate "local" folders?

Do "local" folders from Outlook Express or Windows Live Mail need to be moved into Outlook? If so, it is best to do it before configuring Outlook for HawkMail.

Bring up the "Run" dialog in Windows and open a window to the PublicCommon network drive by typing its UNC as shown below, and clicking "OK."
 
In the window that appears, double-click the appropriate "Outlook20##-##bit" installer file for the version of Outlook running on the machine:
 
If prompted by User Account Control for permission to run, click "Yes":
 
The installer will automatically update the configuration of Outlook to connect to HawkMail....
 
Now, in the PublicCommon window, double-click the "ClearAutoComplete" installer:
 
If prompted with a Security Warning, click "Run":
 
The Microsoft Fix It window will appear. Click "I Agree" and click "Next>":
 
If prompted by User Account Control for permission to run, click "Yes":
 
The Microsoft Fix It tool may start Outlook.

It will prompt you to close the tool when it is done. Click "Close":

 
Outlook will download a new cache of the account items....
 
Disable Outlook's junk-mail filter?

Outlook has its own junk-mail filter, which is in addition to the University's Barracuda anti-spam system. Often, Outlook's filter catches messages and moves them into the "Junk" folder without the user realizing that it has done so, and it tends to be a bit too "aggressive" at catching mail, even on its "softest" setting.

You may want to consider disabling it.

In Outlook 2010:

  • "Home" tab
  • "Junk" drop-down menu
  • Choose "Junk E-mail Options..."
  • Choose "No Automatic Filtering"

In Outlook 2007:

  • "Tools" menu
  • "Options"
  • Under "Preferences" tab, click "Junk E-mail..." button
  • Choose "No Automatic Filtering"
