Guidelines to Develop and Manage Short-Term Study Abroad Programs 

 

 

The International Center welcomes faculty and staff interest in developing new short-term study and travel abroad programs. The programs that have been the most successful are those that are planned early and those where the faculty or staff member has had significant involvement in the development and management of the program as well as the recruitment and preparation of students. 

Short-term study abroad programs are offered during winter, summer or spring break, typically last 1-4 weeks and result in 3-6 University of Hartford credits. Faculty can develop a new course to be taught overseas, teach an existing course abroad or teach an internationally embedded component of a semester course. Faculty and staff can also develop short-term travel abroad programs in which they lead a group of students abroad for a non-credit bearing experience.

All short-term study/travel abroad programs must be led by a full-time faculty or staff member. Adjunct and Emeritus faculty should collaborate with a full-time faculty or staff member to develop a program.

Sarah Reuter and R.J. McGivney are happy work with faculty and staff to develop new short-term proposals. All completed proposals will be reviewed for approval by Chuck Colarulli, Sarah Reuter and R.J. McGivney.  Upon approval, the Program Contract must be submitted within two months.  In order to ensure a successful program, all proposals and contracts must be submitted by the deadlines set below.

Definition of a short-term study abroad program:

  • offers a University of Hartford course (or courses) or is part of a University of Hartford course for which students may receive University of Hartford credit
  • is taught outside of the United States
  • lasts from 1 – 4 weeks
  • is offered during winter, summer or spring break
  • involves a University of Hartford full-time faculty or staff member
  • involves a group of students (typically 10-25) going to the same location for the same time period
  • is sponsored and supported by the University of Hartford

 

Definition of a short-term travel abroad program:

  • is not part of a University of Hartford course and does not provide University of Hartford credit
  • is hosted outside of the United States
  • lasts from 1 day – 4 weeks
  • is offered during winter, summer or spring break
  • involves a University of Hartford full-time faculty or staff member
  • involves a group of students (typically 10-25) going to the same location for the same time period
  • is sponsored and supported by University of Hartford

 

 

Steps in the processes for developing New Short-term Study Abroad Programs

 

Developing a new short-term study abroad program can take 12 months due to the time-consuming steps for curriculum approval, budgeting, logistical planning, advertising and risk management.  Sarah Reuter and R.J. McGivney are committed to working with faculty and staff to develop programs that are safe, sustainable and aligned with the University’s mission.

1.       Discuss your plans with your department chair and/or dean to ensure departmental and college support. It is very difficult to proceed without the support and interest from your department and college.

 

2.       Contact Sarah Reuter and R.J. McGivney to discuss the objectives of your proposed program and its feasibility. The discussion will allow for the assistance in developing the key components of a new program. If you have ideas about developing a program, but no contact overseas, Sarah and R.J. may be able to suggest agencies or institution that can assist you.

 

3.       Present a written Program Proposal to Sarah Reuter and R.J. McGivney by the deadlines below using the steps and rationale provided.  Chuck Colarulli, Sarah Reuter and R.J. McGivney will review all proposals and make further recommendations if required. All Program Proposals must be approved before the Program Contract is drafted.

Winter programs:                                   Proposal no later than February 15th of the preceding year

                                            

Spring Break & Summer programs:         Proposal no later than July 1st of the preceding year

                                                           

 

4.       Develop the Program Contract with Sarah Reuter and R.J. McGivney to include curriculum approvals and syllabi, a marketing plan and budget.

Spring Break & Summer programs:         Program Contract no later than September 1st of the preceding year

 

 

5.       Conduct a pre-departure orientation in collaboration with the Study Abroad Office.

 

6.       Follow-up. Upon completion of the program, a meeting should be scheduled with Sarah Reuter and R.J. McGivney to discuss the successes, problems and future recommendations for the program.  A complete report should then be submitted to the International Center. Evaluations are available from the International Center and should be collected from all students. A summary and photo of the group will be added to the International Center’s website to share the experience with the University community.
